General Terms and Conditions CAR RENTAL | CRETE
ORDER PROCESS: To book your car, you just need to follow the easy steps on the “Home” page. All the payment data you provide to our website is encrypted before being sent, ensuring that no third party can access your details. Please check the security certificate on our website. To make a reservation, a deposit is required. The deposit charge will not be deducted from your account until the booking is confirmed by UNIVERSAL Car Rental. If your booking is not confirmed for any reason, your payment will be canceled.
You will see the amount of the required deposit when you order the car. Full payment details will appear on the confirmation document, and an invoice will be sent to you once UNIVERSAL Car Rental has confirmed your order. Please ensure that the amount for the deposit is available in your credit card account. A confirmation slip containing instructions on how to collect your rental car and an invoice with complete payment details will be emailed to you, typically within 72 hours of receiving your order. If for any reason UNIVERSAL Car Rental has not confirmed your order, a cancellation email will be sent to you with suggestions on how to modify your order, and no charge will be made to your account.
It is important that you provide the correct email address and mobile or business phone number, as the voucher contains essential information on how to pick up the car at your destination.
LATE / LAST MINUTE ORDER: If you place an order with a start date/time less than 24 hours away, you will receive an email notification regarding the status of your order. If you do not receive either an email or an SMS, please call us from your destination at +30 6945702007 to receive instructions on how to proceed with your order. If your order is NOT confirmed, any deposit paid will be cancelled.
PAYMENT METHOD: A valid credit/debit card (VISA or MASTERCARD), accepted by UNIVERSAL Car Rental, must be presented for payment. It is required for the pre-approval of the renter’s liability if necessary, as well as for the settlement of the final rental charges (for non-prepaid reservations). A deposit is required to make a reservation. The deposit amount will be credited to your account only once the booking is confirmed. The deposit is collected by UNIVERSAL Car Rental , only after the final confirmation of the car reservation. The outstanding balance must be paid by credit card issued in the driver’s name at the time of car delivery. Cash payment is accepted. As UNIVERSAL Car Rental is located in an EU country, payment is made in Euros.
PICK UP / DELIVERY INFORMATION: For airport pick-up, it is necessary to provide UNIVERSAL Car Rental with the correct flight number and arrival time before the rental start date. For pick-ups from ports, we require the name of the ship and the arrival time. For delivery to a hotel, we require the name of the hotel, and if possible, the telephone number and address of the hotel. If these details are not available at the time of booking, you must inform us at least 3 days before the car rental start date via email or telephone using the number provided on your voucher. Failure to provide this information at the time of booking will result in UNIVERSAL Car Rental not accepting any liability or providing compensation for a failed rental. On your voucher, you will find delivery details as well as UNIVERSAL Car Rental’s contact information. If the delivery is made at the airport, a UNIVERSAL Car Rental representative will be waiting for you with your name on a sign. When you pick up your car from a hotel, a UNIVERSAL Car Rental representative will be waiting for you at the hotel. For some destinations, there may be a delivery and pick-up charge, which will be disclosed during the booking process. If you have any trouble locating the car rental company, please call the telephone number(s) provided in the bulletin under “Car rental company contact/delivery details”.
RETURN OF THE RENTED CAR: The car must be returned according to your reservation and as stated on your voucher. Any changes requested must be confirmed by UNIVERSAL Car Rental, and additional charges may apply.
DELIVERY & COLLECTION AFTER NORMAL BUSINESS HOURS: Working (office) hours: From 08:00 am to 22:00.
The service for night deliveries after working hours has an additional cost of 20.00 euros. At most locations, cars can be delivered outside normal working hours. There may be an additional charge for this service, which you will see during the booking process.
DRIVER’S LICENSE: All renters must hold a valid EU or international driving license. The driving license must have been issued two years prior to the pick-up date. The driver is required to present the driving license before taking delivery of the car, as well as a valid passport or identity card. For certain types of cars, drivers must have a full driving license of at least 4-5 years. It is the driver’s responsibility to ensure that they have the appropriate driving license. No refunds will be given for rentals refused due to failure to produce a valid driving license. Photocopies of driver’s licenses will not be accepted.
RENTAL PERIOD: The rental period is calculated on a 24-hour basis. You can return the car up to 1 hour later than you picked it up without being charged for an extra day. After that, you will be charged for an extra day. Changes to the return time after the start of the rental are accepted if coordinated with UNIVERSAL Car Rental. In case of a flight delay, UNIVERSAL Car Rental does not charge for a delay within 1 hour, allowing the rental period to start and be calculated 1 hour later than the original booking time. There will be no additional charge for this change, unless the pick-up or return times fall outside of normal business hours.
CANCELLATIONS OF BOOKED ORDERS: Cancellations of booked orders must be made through the customer’s login page. We do not normally accept cancellations made over the phone. For cancellations made more than 168 hours (7 full days) before the start of the rental period, you will receive a full refund of your deposit. If canceled within 168 hours (7 full days) before the start of the rental period, your deposit is non-refundable. No refunds will be given for no-shows at the destination, failure to produce the relevant documentation, early returns, or cancellations after the rental start date. Usually, no refunds are provided for any unused days. For last-minute orders, no refunds will be given if the order is confirmed by UNIVERSAL Car Rental.
RENTAL DOCUMENTS: When you pick up your rental car, you must present your rental car voucher. UNIVERSAL Car Rental is not responsible for rentals that are refused if the receipt is not presented. The rental agreement is written in both Greek and English.
OFFERED MODEL: However, we cannot guarantee a specific car model. Occasionally, we may need to offer a different vehicle than the one you reserved (of the same or better category) at no additional cost. Reservations can only be confirmed based on vehicle category, not on specific car models. Car models serve only as typical examples of the size and performance of a vehicle category. UNIVERSAL Car Rental reserves the right to provide a higher-class vehicle if the booked vehicle class is unavailable.
FUEL: The renter must return the vehicle with the same level of fuel as it was delivered. If the renter returns the vehicle with less fuel than was delivered, they will be charged for the difference in fuel. There is no refund if the renter returns the vehicle with more fuel than was originally provided.
It is possible to pick up the car with a full tank of fuel and return it empty. No refund will be issued if the renter returns the vehicle with more fuel. Fuel charges are payable at the time of booking your vehicle.
BABY AND BOOSTER SEAT:
We offer 3 different child seats to cover the various age groups.
• Group 0+/1: Ideal for children weighing between 0 – 18 kg.
• Group 1/2/3: Ideal for children weighing between 9 -36 kg.
• Booster seat (group 2-3): Ideal for children weighing between 15-36kg.
First child seat is free of charge. For extra child seats there is an extra charge of 3€ /rental day
VEHICLE CLEANING: Before we rent any vehicle, it is cleaned and disinfected. Your vehicle is delivered clean both inside and outside. Upon the return of the vehicle, the exterior must be in a condition that allows for inspection for possible damage. With regard to the interior, if there are significant stains in the cabin of the vehicle (which cannot be removed by simple cleaning), then you will be charged for the biological cleaning of the vehicle cabin.
PETS: Pets are allowed in the vehicles, but must be carried in special transport cases or using special covers. Otherwise you will be charged for the biological cleaning of the vehicle interior.
ACROSS THE BORDER RENTAL: Renters are not allowed to take the car outside the Greek borders.
TRAFFIC VIOLATIONS / FINE: The renter is responsible for the payment of all fines and administrative penalties that may arise from any violation of the Greek Road Traffic Code during the rental period.

VAT & TAXES: Our prices are final and include VAT and all taxes.
INSURANCE: Your rented car is protected with Premium Insurance! The customer is fully relieved of responsibility for any damages. You have full coverage and don’t have to worry about any additional hidden costs. You are fully protected, including coverage for any damages, even to the underbody, tires, and windows. In the event of damage or theft of the car, you will not have to pay any additional fee, as long as the car is used in accordance with the following terms and conditions*defined by the law in Greece.
Τhe insurance package we offer includes the following:
-F.C.D.W. : Your rental is protected with Full Collision Damage Waiver F.C.D.W. You are fully relieved from the responsibility of any damage to the Company’s vehicle due to an accident. At the rental pick-up you will not be asked to pay for any extra.
–Third Party Insurance: Covers third-party bodily injuries per accident up to 1,000,000 Euros. Third-party property damages per accident (excluding rented car) are covered up to 1,000,000 Euros.
–Theft Protection Insurance: The renter is not held responsible in case the rental car is stolen. Stolen personal items belonging to the renter are not covered. Please note that Theft Protection (T.P.) is not valid in cases of renter’s negligence or culpability, for example, leaving car keys in the car’s ignition.
–Fire Insurance: The renter is not responsible in case the rental car is damaged due to a fire or natural disaster.
–Wheels & Underside Insurance: The renter is not held responsible for any damage to the rental car’s wheels and/or underside parts resulting from an accident. Please note that the Wheels & Underside Insurance is not valid in cases of off-road and negligent driving.
-Glasses & Windows Insurance: The renter is not responsible in case the rental car’s glasses and/or windows are damaged due to an accident and/or theft attempt.
* Exceptions to Insurance Coverage:
- Damages caused by violations of Greek traffic laws and regulations.
- Damages due to inappropriate driving or negligence.
- Damages occurred because the driver was driving under the influence of drugs or alcohol.
- Damages caused by an unauthorized driver.
- Damage to the engine due to negligence.
- Damage to the engine caused by using the wrong fuel.
- Damages occurred because the vehicle was used off-road or on unauthorized roads without blacktop.
- Damages that occur after the agreed return time.
- Damages that are caused willfully or recklessly by the renter, such as burning out the clutch, burning out the tires, sitting or standing on the bonnet, roof, or boot lid of the vehicle.
- Damages caused during the commission of criminal acts.
- Damages caused to the cabin and the roof of the car.
Damage caused by an accident was not reported to our company or the police at the time of the incident.
For the aforementioned exceptions, the company may require a guarantee by requesting your credit card details.
In the event of an accident, the renter must immediately inform the company and the police, and obtain a copy of the police report. Otherwise, the F.C.D.W. is not valid, and the renter is charged for the damage as outlined below.

PERSONAL ACCIDENT INSURANCE (P.A.I.): P.A.I. Personal Accident Insurance is an optional extra that covers the driver of the rented car for injuries up to a limited amount. As most travel insurance already provides this type of protection, it may not be necessary for some clients. Ask your travel insurance agent for specific details regarding this type of coverage. If you need Personal Accident Insurance (P.A.I), you can add it while booking your vehicle.
ACCIDENT/BREAKDOWN/THEFT: The vehicle should never be moved from the accident scene until the police report is finalized and the car rental company has been informed. In case of any accident involving your rental car, you must immediately contact the nearest police station and complete an accident report. If you do not report the accident to the police and/or fail to comply with the requirements of the country’s laws, the insurance might become invalid.
The report should indicate whether there was any influence of alcohol or drugs. It is essential that you also report any accidents or damages to UNIVERSAL Car Rental. In case of any other damages to the rented car, the same procedure should be followed. If the vehicle is damaged while parked, you must report the damage to UNIVERSAL Car Rental before moving the car. It is mandatory for the client to file a police report in case of theft and submit this document to UNIVERSAL Car Rental. In case of theft, you must inform UNIVERSAL Car Rental immediately.
Car documents and keys must be handed to the car rental company. The client must report all damages immediately to UNIVERSAL Car Rental. Any unnoticed accident or damage to the vehicle may be interpreted as negligence. This may result in a charge to the client.
UNIVERSAL Cara Rental reserves the right to change, modify, update, add, or remove all or any parts of these Terms of Use at any time.
